• Personal and professional details: name, email address, phone number, title, brokerage, team name, and office address;
• Branding assets: headshot, logo, and brand color preferences;
• Business information: social media URLs, IDX search links, vendor/partner contact details, past listing information, and performance statistics;
• Documents: OREA forms, marketing guides, and other uploaded files;
• Payment information (processed by our third-party payment provider).

Information collected automatically:

• Device and browser information, IP address, and general location;
• Usage data such as pages visited, features used, and session duration;
• Cookies and similar tracking technologies.

2. How We Use Your Information

We use the information we collect to:

• Set up and maintain your BrokerHub account and portals;
• Customize your client-facing portals, listing pages, and tools with your branding and content;
• Process your onboarding application and generate your portal assets;
• Communicate with you about your account, updates, and support;
• Improve and develop the Service;
• Comply with legal obligations.

3. How We Share Your Information

We do not sell your personal information. We may share your information with:

• Service providers: Third-party platforms that help us operate the Service, including GoHighLevel, Cloudflare, Zapier, and cloud storage providers. These providers are bound by contractual obligations to protect your data;
• Your clients: Information you choose to display on your client-facing portals (e.g., your name, headshot, contact details, vendor recommendations) will be visible to the clients who access your portals;
• Legal requirements: We may disclose your information if required by law, regulation, legal process, or government request;
• Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

4. Data Storage and Security

Your data is stored on servers located in Canada and the United States. We implement industry-standard security measures, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

5. Your OREA Forms

Blank OREA forms you upload are stored securely and used solely for the purpose of generating pre-filled offer packages for your clients. These forms are never shared publicly or with other agents on the platform.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete or anonymize your personal data within 90 days, except where we are required to retain it for legal, accounting, or compliance purposes.

7. Your Rights

Subject to applicable law, you have the right to:

• Access the personal information we hold about you;
• Request correction of inaccurate or incomplete information;
• Request deletion of your personal information;
• Withdraw consent to processing where consent is the legal basis;
• Request a copy of your data in a portable format.
